FREQUENTLY ASKED QUESTIONS (FAQs) ABOUT THE CORONAVIRUS DISEASE (COVID-19) AND ITS IMPACT ON YOUR URA VISITING SCHOLARS PROGRAM AWARD
Note: All VSP awardees are required to obtain prior approval for any change and are reminded that they must ensure that all costs charged are consistent with the terms of their VSP award, except as specified in this guidance.
- I don’t know when I’ll be able to travel to Fermilab to complete my research project. What if my award end date occurs before I can go to Fermilab? Can I receive an extension?
URA will provide reasonable and flexible no-cost extensions. URA strongly recommends that all VSP recipients with an active award follow their home institution’s guidance and that they confer with their Fermilab sponsor regarding the current and future status of their research projects, access to the Laboratory, and their ability to carry out their VSP work as planned. After you’ve consulted with your Fermilab sponsor, please provide the VSP with a revised timetable that describes how you plan to complete your project within the unexpended balance of your award. - Can I receive my monthly stipend while I’m unable to work at Fermilab?
VSP award recipients are authorized to continue to charge salaries, stipends, and benefits to currently active VSP awards consistent with the awardee’s home institution’s policy of paying salaries (under unexpected or extraordinary circumstances.) Recipients must not assume that any supplemental funding will be available should the charging of such costs result in a shortage of funds to eventually carry out the project. If a shortfall is anticipated, awardees must contact the Visiting Scholars Program at firstname.lastname@example.org to discuss the situation.
- I incurred nonrefundable travel costs when my trip to Fermi was canceled. Can I get reimbursed?
VSP will reimburse awardees for costs related to authorized travel that was canceled due to the COVID-19 situation. Awardees must not assume that supplemental funding will be available should the charging of cancellation or other fees result in a shortage of funds. If a shortfall is anticipated, recipients must contact the Visiting Scholars Program at email@example.com to discuss the situation. Recipients are required to maintain appropriate records and cost documentation.
